Cancellation & Refund Policy

Last updated 02 June 2025

This policy sets out what happens when a booking with The Last Batch is cancelled or changed. Please read it carefully — by booking, you agree to these conditions.

Booking Amount

The booking amount is non-refundable under all circumstances. It secures your seat on a capped departure, which we then stop selling to anyone else.

If You Cancel

Short trips (under 3 days)

  • More than 60 days before departure: no deduction on the balance amount
  • 59 to 45 days before departure: 50% deduction
  • 44 to 25 days before departure: 70% deduction
  • 24 to 7 days before departure: 80% deduction
  • Less than 7 days before departure: no refund

Long trips (over 3 days)

  • More than 75 days before departure: no deduction
  • 75 to 45 days before departure: 50% deduction
  • 44 to 15 days before departure: 75% deduction
  • Less than 15 days before departure: no refund

International trips

  • More than 75 days before departure: no deduction
  • 75 to 45 days before departure: 50% deduction
  • 44 to 30 days before departure: 75% deduction
  • Less than 30 days before departure: no refund

How to Cancel or Change a Booking

  • Process: email your request to hello@thelastbatch.in, replying on your booking confirmation thread. Requests over phone or WhatsApp are not accepted.
  • Replacing a traveller: you may transfer your seat to someone else up to 7 days before departure. Transfers are not possible where the booking includes non-transferable Volvo, train or flight tickets.

How Refunds Are Issued

  • Once approved, a credit note is issued by email within 2 working days.
  • We issue credit notes rather than cash refunds.
  • Payment gateway charges of 2.5% and any other transaction charges are deducted from the refund.

If We Cancel or Change

The Last Batch may cancel, alter or amend any part of a trip, itinerary or price. We will tell you as far in advance as we can, though external factors sometimes force last-minute updates.

Force Majeure

In the event of natural disaster, government order, weather closure, roadblock, pandemic or political unrest:

  • we will try to offer an alternative departure
  • where that is not possible, we issue a credit note valid for one year
  • cash refunds are not issued
  • additional costs arising from these circumstances are borne by the traveller

After Departure

  • If a trip is interrupted for reasons beyond our control, no refund is made.
  • Travellers bear the cost of emergency evacuation or unplanned arrangements.
  • We may decline mid-trip dropout requests.
  • No refund or discount is given for services unused because of late arrival, early departure, personal reasons or illness.

Community Conduct

We may refuse service to anyone who behaves abusively, makes threats, defames us publicly, or falsifies communication. We are a small team and we ask for the same respect we extend.

Anything unclear?

We would rather explain it now than argue about it later.
